Instructions for Resolving Fatal Errors

Understand how to resolve your fatal error shipments reported into the AES.

TYPES OF RESOLUTIONS

AES Transaction has not been corrected.

If the shipment has been exported and there is a fatal error pertaining to that shipment, you MUST correct and resubmit using the following instructions.

  1. For each shipment that needs to be corrected, note the fatal error response code.
  2. View the fatal error response code in the AESTIR Appendix A.
    • Open the Microsoft Word document "AESTIR Appendix A".
    • Select EDIT: FIND from the file menu or key CTRL+F
    • Type your code in the text box and click the "Find Next" button.
    • Read the Resolution for the Response Code.
  3. After reading the error resolution, retrieve the shipment from the AES system.
  4. Correct the error.
  5. Submit the shipment to AES.
  6. Check for the ITN.
    • The ITN is your confirmation that the shipment has been accepted. The ITN must be received prior to export for predeparture filers or within 10 days of export for postdeparture filers.
  7. Once you have received an ITN, no further action is necessary

Please Note:

  • If you are correcting this shipment after the date of exportation, expect to receive a compliance alert reflecting the late submission.
  • In the future, make sure that you have an ITN for all shipments before they are exported or prior to the tenth day after exportation if you are an approved postdeparture filer.

AES Transaction was re-filed and accepted using a NEW shipment reference number.

Please send an email to ftd.aes.fatal.reports@census.gov with the following information:

  • Original Shipment Reference Number
  • New Shipment Reference Number
  • ITN for the New Shipment Reference Number

Please Note:

  • These shipments will be removed from your Fatal Error Report following verification of the new shipment(s). Please allow 1-2 weeks for the fatal error to be removed.
  • Please ensure the original shipment reference number is submitted EXACTLY as it appears on your Fatal Error Report.
  • If providing a list of corrections for 10 or more transactions, please submit the information in an Microsoft Excel spreadsheet to expedite the removal of these shipments from your report. Please add the information listed above in their own columns.

AES Transaction will NOT be exported or was cancelled.

Please send an email to ftd.aes.fatal.reports@census.gov with the following information:

  • Shipment Reference Number
  • Written Resolution
    • For example: "Cancelled" or "Cargo was NOT exported."

Please Note:

  • These shipments will be removed from your Fatal Error Report following verification of the new shipment(s). Please allow 1-2 weeks for the fatal error to be removed.
  • Please ensure the original shipment reference number is submitted EXACTLY as it appears on your Fatal Error Report.
  • If providing a list of corrections for 10 or more transactions, please submit the information in an Microsoft Excel spreadsheet to expedite the removal of these shipments from your report. Please add the information listed above in their own columns.

AES Transaction was filed by an Authorized Agent.

Please send an email to ftd.aes.fatal.reports@census.gov with the following information:

  • Shipment Reference Number
  • Written Resolution
    • For example: "Filed by Authorized Agent "

Please Note:

  • These shipments will be removed from your Fatal Error Report following verification of the new shipment(s). Please allow 1-2 weeks for the fatal error to be removed.
  • Please ensure the original shipment reference number is submitted EXACTLY as it appears on your Fatal Error Report.
  • If providing a list of corrections for 10 or more transactions, please submit the information in an Microsoft Excel spreadsheet to expedite the removal of these shipments from your report. Please add the information listed above in their own columns.
